How we keep training activity safe at client and third-party venues, and online.

1. Purpose

Upstart Bar is committed to delivering training in a manner that protects the health, safety and reasonable welfare of learners, trainers, employees, contractors and visitors. This policy defines the responsibilities that apply to Upstart Bar's training activities and how those responsibilities interact with client and third-party venue arrangements.

2. Operating model and scope

Upstart Bar does not currently operate its own permanent training premises. Face-to-face training is normally delivered at client premises or third-party venues, while some activities may be delivered online or in hybrid formats. The client or venue provider remains responsible for premises-level safety systems, building access, fire and emergency arrangements, first-aid provision and other controls that relate to the facility itself.

Upstart Bar remains responsible for conducting its own training activity safely, responding to obvious risks within the training setup and following the venue's established safety procedures.

3. Responsibilities

Managing Partner and Partner lead

  • Ensure appropriate health and safety arrangements are considered when planning training activities.
  • Escalate or pause delivery where a material safety concern cannot be resolved.
  • Review significant incidents and ensure appropriate corrective actions are completed.

Lead trainer

  • Confirm the training room is reasonably suitable for the planned activity before or at the start of delivery.
  • Become familiar with venue emergency information, exits, evacuation arrangements and the client or venue point of contact.
  • Keep aisles, doors and access routes reasonably clear and avoid unsafe placement of bags, cables or equipment.
  • Brief learners on relevant venue or session safety information where appropriate.
  • Report accidents, near misses, hazards or safety concerns to the client or venue representative and to Upstart Bar leadership.

Learners and participants

Learners are expected to follow venue instructions, act reasonably, use equipment as directed, avoid creating hazards and tell the trainer or venue representative if they identify a health or safety concern.

4. Pre-delivery safety checks

The depth of the check should be proportionate to the training activity and venue. The trainer or delivery lead should consider the following as relevant:

  • Room capacity, seating layout and clear movement routes.
  • Accessibility and any agreed learner support arrangements.
  • Location of emergency exits and how to contact venue support or emergency assistance.
  • Safe placement of laptops, chargers, extension leads, projectors and other equipment.
  • Adequate ventilation, lighting, reasonable temperature and access to breaks.
  • Internet and power setup where required for digital activities, without creating avoidable trip or electrical hazards.
  • Any activity-specific risk such as movement exercises, equipment demonstrations or extended screen use.

5. Equipment and electrical safety

Upstart Bar trainers should use equipment that appears to be in safe working condition and should not continue using damaged plugs, chargers, cables or devices that present an obvious risk. Venue electrical installations and fixed equipment remain under the control of the client or venue provider. Temporary cables should be positioned or managed to reduce trip hazards.

6. Accessibility, comfort and learner welfare

Reasonable accessibility and learner-support needs are considered before delivery where information is available. Delivery should include suitable breaks for the duration and intensity of the program. Trainers should respond appropriately if a participant becomes unwell or distressed, using the venue's first-aid or emergency arrangements rather than attempting to provide medical advice beyond their competence.

7. Emergency and incident response

  1. Follow the client or venue emergency procedure and instructions from authorized venue personnel.
  2. If there is immediate danger or a medical emergency, contact the appropriate emergency service or venue emergency contact without delay.
  3. Account for the training group where reasonably possible and do not re-enter an evacuated area until authorized.
  4. Record and report accidents, near misses or material safety concerns to the venue or client and to Upstart Bar leadership as soon as practicable.
  5. Where appropriate, Upstart Bar will review the incident and update future delivery arrangements or controls.

8. Online and hybrid delivery

For online or hybrid training, Upstart Bar encourages reasonable screen breaks and a suitable working setup. Learners remain responsible for the safety and ergonomics of their own home or workplace environment. Trainers should not encourage unsafe multitasking, such as participating while driving.

9. Insurance and venue responsibilities

Because Upstart Bar does not operate permanent training premises, premises-level public-liability and facility insurance arrangements normally sit with the client organization or third-party venue under the applicable venue arrangements. Upstart Bar personnel maintain applicable personal health-insurance coverage. If a client or procurement process requires additional insurance from Upstart Bar for a specific engagement, that requirement is reviewed as part of contracting and delivery planning.

Personal health insurance is not treated as a substitute for premises or public-liability insurance; the two address different risks. This policy therefore focuses on the responsibilities and controls that apply to Upstart Bar's training activity.

10. AI-supported learning, welfare and safeguarding

Where AI-supported features are used during training, physical health and safety remains governed by the client or venue emergency arrangements and this policy, while AI-related learner safeguarding is governed additionally by our AI Learner Safeguarding and AI Human Oversight policies.

AI must not be used as the decision-maker in an emergency or to provide therapeutic, clinical, safeguarding, legal or other specialist advice outside the educational scope of the program. If a learner becomes distressed, unwell or raises a welfare concern, the trainer moves to human support, stays within trainer competence, protects privacy and follows the client or venue emergency or safeguarding route as appropriate. Trainers may pause or disable an AI-supported feature and continue the learning activity without it where the feature creates a safety, safeguarding or material learner-support concern.

11. Stop-work and pause-delivery authority

Any Upstart Bar trainer or partner may pause or relocate an activity where there is a material and immediate safety concern. Delivery should resume only when the concern has been resolved or an appropriate alternative arrangement has been agreed.

12. Review and records

This policy is reviewed annually, or earlier if there is a material legal, operational, contractual or delivery change. Incident records and significant corrective actions are retained in line with applicable business, privacy and client requirements.
